# Supplier onboarding dossier

## Purpose

Turn supplier questionnaires and supporting documents into a consistent qualification record. Expose missing, expired, inconsistent, or risk-sensitive information before a supplier decision is made.

## Scope

Supplier profile, tax and payment details, insurance, certifications, ownership, service scope, risk criteria, and procurement requirements. **Excluded:** verifying bank accounts externally, approving suppliers, signing contracts, or contacting suppliers.

## Data basis

- Supplier questionnaire and company profile.
- Certificates, insurance, banking, ownership, and compliance documents.
- Procurement requirements, risk criteria, and approval policy.

## Result

A supplier dossier, document checklist, and conditional approval recommendation with every finding cited.

## Quality criteria

- Each required document has present, missing, expired, or unclear status.
- Dates, names, and identifiers are compared across sources.
- Risk classification follows supplied criteria.
- Recommendations state conditions and unresolved evidence.

## Instructions

Do not treat document presence as validity. Compare legal name, address, registration, and account identifiers across documents. Preserve conflicting values. Distinguish a procurement requirement from a legal conclusion. Use company risk criteria; otherwise label the assessment indicative.

The review should make the population, calculation basis, and exception treatment understandable to a second operator. Preserve source identifiers in every working table, and state the effect of missing evidence on the decision. A reviewer must be able to reproduce each material result from the cited rows, clauses, dates, or policy rules. Where two sources disagree, show both values and explain which source was treated as authoritative.

Use the outputs as review workpapers: retain the source locator beside every material value, and keep planned action separate from completed evidence. The final document must identify the consequence of each gap for the relevant operational or control decision.
