# Sales to invoice readiness

## Purpose

Verify that a won sale can be invoiced from evidence already in the workspace. The check connects the opportunity to executed commercial terms, customer billing identity, order or subscription, delivered quantity or milestone, price, currency, tax treatment, and invoice schedule, then isolates holds before invoice creation.

## Scope

Cover opportunities, quotes, orders, contracts, amendments, subscriptions, delivery or acceptance records, product catalog, price books, customer master, purchase orders, billing instructions, and invoice history. Include one-time, recurring, usage-based, and milestone billing. **Excluded:** issuing an invoice, collecting payment, changing CRM or accounting records, and deciding tax treatment where no approved company rule is supplied.

## Data basis

- Opportunity table with opportunity_id, account_id, stage, close_date, owner, quote_id, contract_id, and won_reason.
- Quote and order lines with sku, description, quantity, unit_price, discount, currency, start_date, end_date, and billing_frequency.
- Contract or amendment clauses with effective dates, milestone, acceptance, renewal, cancellation, and invoice terms.
- Customer and billing records with legal_name, billing_address, tax_id, purchase_order, payment_terms, invoice_email, and currency.
- Delivery, usage, acceptance, and invoice tables with service_period, delivered_quantity, milestone_status, invoice_number, and billed_amount.

## Result

Produce a billing-readiness sheet with one row per opportunity or order line, readiness status, evidence, pricing and quantity checks, billing date, missing fields, and hold reason, plus an exception memo for material discrepancies and duplicate-billing risks.

## Quality criteria

- Each row links opportunity_id to account_id, quote or order, and contract or amendment.
- Billable quantity, period, unit price, discount, currency, and total reconcile to the governing source.
- Billing trigger and invoice schedule are evidenced by delivery, acceptance, subscription, or contract terms.
- Customer billing identity and required purchase-order fields are checked without guessing.
- Previously invoiced periods or amounts are identified and cited.

## Instructions

Use the contract or executed order effective at the billing date; do not treat a draft quote as binding evidence. Compare line-level values before aggregating totals. For recurring services, check period boundaries and overlap with prior invoices. For milestones, require the stated acceptance evidence. Treat missing tax, currency, billing address, or purchase-order requirements as holds when the governing record requires them. Do not infer a zero amount from a blank price.

## Adapt before use

- Map CRM, quoting, order, contract, customer, delivery, subscription, and invoice columns to the named fields.
- Add the company billing policy, invoice checklist, pricing authority, and purchase-order rules.
- Define billing statuses, hold severity, effective-date precedence, and duplicate-invoice tolerance.
- Specify the approved source for tax, currency, payment terms, and recurring-service periods.
