Extracts merchant, date, amount, tax, currency, payment method, and coding fields from receipts into a reconciled expense ledger, while flagging unreadable, duplicate, and policy-sensitive records. Use for receipt processing, reimbursement preparation, or expense data cleanup.

Receipt expense extraction

Purpose

Turn receipt evidence into structured accounting rows without losing uncertainty. Each extracted field remains linked to the receipt and is checked against the related claim and policy.

Scope

Read receipt fields, normalize dates and currencies using supplied references, match receipts to claims, classify expense categories, and flag policy or reconciliation issues.

Excluded: payment execution, reimbursement approval, tax filing, foreign-exchange invention, and correcting source records.

Data basis

  • Receipt images or PDFs with receipt identifiers.
  • Expense claim table with claimant, claimed amount, currency, cost center, and submission date.
  • Merchant, currency, tax, category, and cost-center reference tables.
  • Expense policy and existing ledger for duplicate and reimbursement checks.

Result

A receipt ledger with confidence and citations plus an exceptions memo.

Quality criteria

  • Every receipt has a stable receipt ID, source citation, extraction status, and field-level confidence.
  • Receipt total equals subtotal plus tax and adjustments when those fields are present.
  • Claim and receipt amounts reconcile within the policy tolerance.
  • Currency conversion names its supplied rate and effective date.
  • Unreadable or conflicting fields are blank or unresolved, never guessed.

Instructions

Preserve the printed value and currency before any normalized amount. Use the company’s supplied exchange-rate table only. Match on claimant, merchant, date, amount, and receipt ID; do not force a weak match. Treat duplicate receipt IDs and near-identical merchant-date-amount combinations as review cases. Apply policy category and missing-receipt rules exactly.

Adapt before use

Record the extraction timestamp and source page for multi-page receipts. Keep amounts exactly as printed before normalization. Original receipt images remain the evidence of record for every extracted field.
