Sales call preparation brief

Purpose

Turn the evidence already held about an upcoming conversation into a compact call plan. The output gives the seller a clear outcome to pursue, questions grounded in the account’s situation, relevant proof, and explicit risks without pretending that unknowns have been confirmed.

Scope

Cover the meeting purpose, attendees and roles, opportunity stage, previous commitments, unresolved objections, business problem, desired outcome, discovery questions, relevant capabilities or case evidence, agenda, and next-step criteria. Treat a follow-up call differently from a first discovery call. Excluded: sending invitations, writing to attendees, updating CRM, making pricing promises, or deciding on behalf of the customer.

Data basis

  • Calendar or meeting record: title, date, duration, attendees, account, owner, and stated objective.
  • CRM account and opportunity fields: stage, amount, close date, products, competitors, next step, and loss or risk reason.
  • Emails, call transcripts, meeting notes, proposals, tickets, and prior commitments.
  • Approved messaging, case studies, product notes, qualification framework, and objection guidance in scope.
  • Optional meeting_context input for the seller’s immediate goal or constraint.

Result

Write a call-prep document with a one-line desired outcome, attendee map, evidence-backed account situation, priority questions, proof-point shortlist, objection handling boundaries, minute-by-minute agenda, and a mutually testable next-step definition. Include an evidence table with citations and confidence.

Quality criteria

  • Every attendee has a source-backed role or is marked unknown.
  • Questions are open-ended, tied to a cited fact or explicit information gap, and ordered by decision impact.
  • Proposed proof points match the account’s industry, problem, and product scope; unsupported claims are excluded.
  • The agenda fits the recorded duration and allocates time to discovery before demonstration.
  • Prior commitments and unresolved objections are quoted or cited, never paraphrased as certainty.

Instructions

Start with the most recent interaction and reconcile it with the opportunity stage. Label each item as fact, assumption, question, or seller action. Never turn a guessed budget, authority, deadline, or competitor into a qualification fact. If the call is a renewal, compare current usage, incidents, value evidence, and contract dates; if it is discovery, leave renewal-only fields out. Keep the agenda in minutes that sum exactly to the meeting duration, and make the desired next step conditional on an answer or commitment the customer can verify.
