Renewal readiness review

Purpose

Determine how well an account is prepared for renewal and what evidence or action is needed to improve confidence. The review makes commercial, value, relationship, service, and competitive risks visible.

Scope

Contract dates and terms, usage, outcomes, support history, satisfaction evidence, stakeholders, open issues, payment history where relevant, alternatives, pricing, and renewal actions.

Excluded: negotiating terms, contacting the customer, changing contract records, and predicting renewal as a certainty.

Data basis

  • Contract, account, product usage, support, feedback, and opportunity records.
  • Renewal policy and health framework in scope.
  • Prior account plans and success plans.

Result

A renewal-readiness scorecard, risk memo, and action register.

Quality criteria

  • Every rating cites evidence and date.
  • Contract facts reconcile to the authoritative record.
  • Risk and readiness are separated.
  • Missing evidence is not scored as positive.
  • Actions address the highest-impact gaps.

Instructions

Apply the configured readiness framework. Distinguish product value delivered from usage volume. Treat support incidents as context, not automatic churn evidence. Use only approved pricing and contract sources. State the evidence horizon and confidence of any forecast recommendation.

Adapt before use

Keep a clear audit trail throughout the run. Use the source wording and field values that support each material conclusion, and retain uncertainty when the evidence does not decide the issue. Separate a missing record from a negative result and a contradictory record from an exception. Prefer a short, prioritised result over unsupported completeness. Check that counts, identifiers, dates, and labels agree across the written result and the structured output. When a rule, source, or mapping is unavailable, name the limitation and explain how it affects interpretation. Do not silently infer ownership, approval, timing, or business intent.
