Workflows that do not end at your company's door.

Build processes together with suppliers, customers and service providers: they do their step through a link, and their answer runs straight into your workflow.

What is an external workflow?

A workflow in which people outside your company also do a step. The customer orders, the supplier confirms the date, the carrier uploads the delivery note. Today that runs over email and phone, and someone types the answer in. Here it is one process across the whole supply chain.

  • Your workflow stays yours

It runs in your account. Only the steps you open up go outside.

  • Partners need no account

They open a link, fill in a form or upload a file.

  • The answer keeps running

A submission starts the next step: update the record, check, inform the customer.

  • Systems talk directly

Shopify or your customer's system calls your workflow through a webhook.

From the customer order to goods receipt

An example from inventory management: a retailer, their supplier Holzwerk Nord and their customer Möbelhaus Brandt.

  1. 01

    The customer triggers the process

An order in the shop or in the customer's system calls your workflow through a webhook. Nobody copies it over by hand.

  2. 02

The supplier answers on a page

The workflow sends Holzwerk Nord a link. There the supplier confirms date and quantity and uploads the order confirmation, without an account.

  3. 03

The answer is in the record

The submission starts the next run. If the confirmed quantity differs, it pauses and asks you.

  4. 04

Every partner sees only their rows

A page shows records filtered per link. Holzwerk Nord sees its open purchase orders, Möbelhaus Brandt the status of its orders. With a password, expiry date and CSV export if you want.

  5. 05

Close partners work in the same space

Invite the supplier or your tax advisor into a space by email. They see only that space and work there with the same documents and tables as you.

Control

You decide what goes outside

  • One link per recipient

Every partner gets their own link. You disable or renew it individually.

  • Password, email gate, expiry

A link can be restricted with a password, an email gate, an expiry date and a visit limit.

  • Approval before sending

An approval step pauses the run before anything goes to a supplier or customer.

  • Everything is logged

Every visit and every submission is recorded, with time and link.

Common questions

Not for pages, forms and uploads, a link is enough. Only someone who should work in a shared space needs an account.

Only what is on their page. A record view is filtered per link and shows only the fields you selected. Workflows, skills and other spaces are not visible from outside.

Every page submission is an event that can start a workflow. Uploaded files are stored as documents in the space, the form values are available to the run as input.

Yes. Every workflow can start through a webhook. The customer's system or your shop sends the data to the workflow's address.

Today through webhooks and pages. Connecting two workflows in two accounts directly is not built yet.
